E-Mail account setup in Outlook

Settings for your Outlook and Mozilla Thunderbird e-mail account:
These settings work with the latest Microsoft Outlook and Mozilla Thunderbird mail clients.
Outlook and Thunderbird basically take control of the setup . You will only need to complete the username / e-mail account and provide a password.
Should you wish to manually adjust the settings then choose "Manual Setup" from the options, drop-down, menu.
 
Non-SSL Settings (NOT Recommended)
Username: email@yourdomain.com
Password: Use the email account’s password.
Incoming Server: mail.yourdomain.com
  • IMAP Port: 143
  •  
  • POP3 Port: 110
Outgoing Server: mail.yourdomain.com
  • SMTP Port: 25 or 587
IMAP, POP3, and SMTP require authentication.
Encryption type: SMTP requires enabling of the SSL / TLS encryption methods. Outgoing port can be changed to something like: 465
 

Notes:

Authentication for your outgoing mail is a requirement and must be set. There is an option to use the same settings as your incoming mail server, i.e. the username and password. The receiving mail server will recognize this setting. If this is not set your mail may be rejected by mail servers that require it.

SSL / TLS / STARTTLS is now a requirement for all mail servers. Host Direct only offers secure hosting to its clients, when setting up your mail account, your mail client will automatically set this up for you and also select the incoming and outgoing ports.  In many instances, hosting companies will use non-standard ports for incoming and outgoing mail, if this is the case, your hosting company will provide this information.

In the event that you wish to use your internet provider's service for outgoing mail, and not your own server as explained above, your will need to call them for these settings.  Here is an example of the typical settings you will require from your service provider:

Outgoing server: smtp.saix.net (Telkom ISP)
Ports: either 25 or 587

Understand this well, if you do not have an SSL certificate, get one immediately. Host Direct will give you a free non-commercial SSL certificate with every domain. E-mail that is not encrypted during transmission, is considered unsafe and may be routed to your recipients spam folder.  In addition to SSL / TLS, you will need to add a SPF record to your DNS, create a DMARC record and finally your DKIM record.

Summary of the four important thing to take care of, to prevent your e-mail from going into the recipient's spam folder:

Once the above are implemented you should have no problem sending mail securely.

SSL / TLS settings for your mail server, generally your e-mail client (Thunderbird / Outlook) will automatically detect these settings.

If you do not see an auto-configuration script for your client in the list above, you can manually configure your mail client using the settings below:

Get Mozilla Thunderbird from https://www.thunderbird.net/en-US/download/

Once installed, The program will prompt you, same as Outlook does, to enter your email and password. 

What happens when you use POP3 and IMAP:

When an e-mail account uses the POP3 protocol, all mail is downloaded to your personal computer or mobile phone. If the device is lost your data is lost.

When an e-mail account uses the IMAP protocol, mail is stored on the server and the duration may be specified in your e-mail client. This method will use your server space. 

 

Make a copy of your data file for each e-mail account. You can always import this into your e-mail client when required.
